Question

Whats the 'Send on Behalf of' feature?

Answer

BlastWizard offers a very powerful yet very simple to use feature using which you can send emails as though its coming from someone other than the person setting up the job in BlastWizard for AppExchange

There are two ways to take advantage of this feature, you can use it to a) Personalize the content of the email with your details. b) Personalize the Sender Name & Email Address ( And reply To ) To do either of these, you need to use merge codes in your document. First lets explain what the different Send on Behalf of Options mean:

1. Other Person - Use this option when you email does not require any personalization, say you are just publishing a Press release to your customers.
2. Behalf of Lead /Contact Owner - Use this option when you want the email to appear coming from the lead or contact owner. Very useful when you , as the Marketing Executive, are incharge of sending a 'touchbase' email to your customers introducing the Account Executive for each account. You can have the email contain details about the Account Executive ( i.e. Lead/ Contact Owner ) such as email, phone number etc.
3. Myself - Use this option when you are setting up the job yourself and would like the email to be personalized with your details.

Ofcourse all of this is in addition to personalizing the email with the recipient's information. Say "Dear Mary Smith"

Lets the take the example of "Sending on Behalf of the Lead/Contact Owner" to walk you through -

1. How to personalize the content:

When you create the document, you have to add the User Merge codes that are in the merge codes drop down in HTML Editor. For example if you would like to sign your email with your details you will have the following snippet of merge codes in your email -

Sincerely, `merge:user_firstname `merge:user_lastname `merge:user_title

Email: `merge:user_email Phone: `merge:user_phone

Please note that all of these merge codes are different from the Salesforce.com merge codes, which are not usable in Blastwizard.

Now when you move on to the Campaigns Page / Segmentation Page, you will see a drop down. Here you will select "Lead / Contact Owner" so that BlastWizard will automatically merge each email with the information of the Lead/ Contact Owner's data (as populated in Salesforce).

2. How to personalize the Sender Name & Email Address.

The next step is in the Email Job Options page. Here you will see that the system has automatically populated the Sender Name field with "Name of the Lead/Contact Owner" and the Sender /Reply To Address field with "Email of Lead/Contact Owner" because of your earlier choice. This choice is made automatically so that the email also appears to be coming from Lead/ Contact Owner (ex. Sandra Watters swatters@boomerang.com if Sandra is the lead owner for a recipient)

However if you would like the Sender (or From) email address to be that of the marketing department , you can do that by choosing an already verified email address.

Please note: If you just realized that you have not verified the marketing department's email address, no problems ! you can still proceed to select one of the email addresses in the drop down. You can then go through the verficiation process and then Edit the Job (from the Pending Jobs area) to change the sender email address.

Important Note: If you only want to personalize the SenderName and Email Address with that of the Lead/Contact Owner, then you still need to choose Send on behalf of in the the Campaigns Page / Segmentation Page but dont have to necessarily personalize the content of the email with user merge codes.
